Dear colleagues in Spain,<br />

I hope you have all had a good start to 2013.<br />
<br />
As you remember last June we had our <b>7th Alumni Meeting</b> in Spain at the CNIC in Madrid. A <b>summary of the meeting and the action points</b> is available on the <b>EMBL alumni web pages</b>:<br />

<br />
One of the action points was <b>to explore how alumni in Spain can influence science policy</b> at the European level. To this end,<b> Iain</b> put me in contact with the International Relations Officer at EMBL who I met in November 2012. It appears that this is a long process of working together with the Spanish Member of the European Parliament (MEP) and has to begin long before the end date of the Framework Program. In the case of Horizon 2020 this should have started at the end of 2011 - start of 2012. In fact, the text is now being finalized, and it was already too late for the EMBL alumni to have any influence when this issue was raised. The time to make a difference for the<b> 9th Framework program</b> for the period<b> 2021-2027 </b>is in <b>2018</b>.<br />
<br />
Another key point referred to the request at the meeting <b>to collect individual research interests and keywords for alumni</b>. While this information has always been collected by the EMBL Alumni Office through our alumni records, it has now been made searchable via the enhanced features of the <b>Alumni Members Directory</b>. This will be explained in an e-mail that will be sent by the Alumni Relations office later today. This will be of great help to all of us in<b> finding relevant potential collaborators</b> and we should help make it effective by <b>updating our own research interests in the record</b>, while taking full advantage of the information available.<br />
<br />
I am happy to inform you that the<b> EMBL Alumni Association board has agreed to support our next alumni meeting</b>, as it did last year. Hopefully, we can schedule this for <b>Autumn 2013</b>. I will keep you posted.<br />

The next EMBL Alumni meeting in Madrid is quickly approaching and there are a few things that I would like you to know before we meet in Madrid this Friday 8th:<br />
<br />
- I am enclosing the final programme (please see attached <i>[NB: updated version follows]</i>). This includes a <b>visit to the CNIC facilitie</b>s at the end of the day. They would like me to tell them how many people will be interested in this visit (for organisation purposes). <b>Please let me know if you plan to attend</b>.<br />
<br />
- From the CNIC they also tell me that <b>it is necessary for you to have your DNI or passport with you</b>, otherwise you will not be allowed to get in. They suggest to prepare a list in advance to make the entrance faster and more efficient in the morning. If you want, <b>you can send me your DNI or passport number</b> so that they will have the access cards ready in advance.<br />
<br />
- They also inform me that <b>there is no parking available for private cars</b> and in the street the parking is not free.<br />
<br />
- Those of you giving a <b>presentation, please bring it ready</b> in a pen-drive (or DVD or CD, if easier for you).<br />

Please find attached the programme for our <b>next EAA Meeting in Madrid (CNIC)
on June 8th</b>. As you can see, there is an interesting mixture of science and
discussion about subjects that were highlighted as important in the recent
questionnaire.<br />
<br />
I hope you will find the programme interesting and be able to make it to the
meeting.<br />
<br />
Many of you have already <b>confirmed attendance</b>, if you have not done so yet,
but would like to participate, <b>please let me know</b>, I would just like to make
sure that there is enough coffee and food for everybody. If you have already
said no, please ignore this, and sorry for sending it again.<br />
<br />
In addition, the EMBL Alumni Association has been very understanding with
our situation and has agreed to help us with 2.500 euros, so we will be able
to cover PART of our expenses. If you are going to claim some of your
expenses, please remember that you will need to <b>keep receipts and invoices
for transport</b>. Where participants require reimbursement for petrol, we would
need a hand-written confirmation of payment from them, together with their
receipt from the petrol station.<br />

Thank you to all of you who replied to the questionnaire I sent last December. Based on the answers and plenty of discussions we have decided to celebrate the <b>next meeting in Madrid, Friday June 8th</b>.<br />
<br />
As attractive as a meeting in Mallorca sounded (I know some of you are disappointed), getting there for just one day was difficult for some people and many others could not afford to expand the meeting to two days. Therefore, <b>Jose Luis de la Pompa</b> very kindly agreed to host our meeting at the <b>CNIC</b> (gracias Jose Luis!). We hope that everyone will find it easier to make it there.<br />
<br />
I am happy to inform you that the <b>EMBL Alumni Association [EAA]</b> has generously agreed to assign some funds to help us support this meeting. In addition, <b>Iain Mattaj</b> has agreed, once again, to find time out of his busy schedule to come to the meeting. I think that this reflects the interest that EMBL has in the Alumni Association and his appreciation for our Chapter meetings being (together with the Greek one) one of the most active and long running.<br />
<br />
Many of you showed interest in having a meeting that includes not only great science, but also the possibility to discuss funding opportunities, facilities and services in our institutions and at the EMBL that could be used by our community, science policy, collaborative activities, networking, lobbying, etc.<br />

Dear Alumni,<br />

At the end of September we wrote to you regarding the EMBL Alumni Iberic Chapter meeting in Mallorca.<br />
<br />
Many of you wrote back supporting the idea of having and open and deep discussion about a number of important issues that we will be facing in the immediate future. Unfortunately, due to the short notice of the announcement, few could confirm their attendance.<br />
<br />
We believe that it is important to engage as many alumni as possible in these initiative, therefore, we have decided to postpone the meeting to March next year.<br />
<br />
In the meantime more people will have the opportunity to participate in the preparatory discussions and to suggest different topics for the conference.<br />
<br />
Our intention is to get funding to support the meeting, but for our actions to be efficient it would be necessary to have an estimate of the number of potential attendees. We will follow soon with a short questionnaire about content and future plans for the conference.<br />
<br />
We apologize to those of you who have made plans to attend at the end of October, but the meeting is simply postponed, not cancelled, and it is going to be even better!<br />

Dear Alumni,<br />
<br />
This year <b>EMBL Alumni Iberic Chapter</b> meeting will take place in the <i>Hotel Barceló Albatros</i> in <b>Palma de Mallorca</b> during the last weekend of October.<br />
<br />
Thanks to funds provided by the <i>Government of the Balearic Islands</i>, we will be able to change the format and content of the meeting.<br />
<br />
<b>Accommodation costs and meals are covered by the organization</b>, thus attendees will only have to pay for transportation. Participants would be able to <b>arrive on Friday 28th and leave on Sunday 30th</b>. Hotel rooms are for double occupancy, so you could bring your significant other at <b>no extra cost</b> (*).<br />
<br />
Sessions will run from Saturday 29th, morning and afternoon, to Sunday 30th in the morning.<br />
<br />
Our intention this year is to talk not just about our results and projects, but also about all other things that make our work possible. We believe that in the present economic environment this is a very important matter. In this context, our intention is to have at least one session dedicated to talks and discussions about funding opportunities, facilities and services in our institutions and at the EMBL that could be used by our community, science policy, collaborative activities, networking, lobbying, etc.<br />
<br />
We believe that we, the EMBL alumni, have the potential to influence science and science policy in Spain, or at least, to benefit from sharing and optimizing the use of resources that are presently underused, or even ignored by the majority of us.<br />
<br />
We are happy to say that <b>Iain Mattaj</b> has agreed to take time out of his busy schedule to come to the meeting and give us his vision about the current situation.<br />
<br />
We have also invited <b>a representative of CDTI</b> who will discuss funding opportunities for the next two years of the 7th Framework Program and prospects for the 8th; and <b>a representative from the MICINN</b> who will talk about the <i>Ley de la Ciencia</i> (we are waiting for confirmation).<br />
<br />
At this stage, <b>it would be great if you could let us know if you are planning to attend</b>, and what would be the topic(s) you would like to discuss during the meeting or if you would like to present your work, so we can make more detailed arrangements.<br />

However, I thought that you may like to hear that the meeting worked out very well. In principle 30 people had agreed to participate although at the last minute 9 people had to cancel for different reasons.<br /><br />On Friday 7th we enjoyed a lovely sunny day, excellent scientific presentations with lots of questions and an intense but productive (we hope!) discussion about different Alumni issues. Even when the scientist belongs to an European country, the person has to obtain a special permit (involving queuing for hours); this does not happen to EU nationals in other European countries. With this kind of setting, it didn’t take a lot of armtwisting to convince EMBL alumni to switch off their computers, hang up their lab coats and head over to the beach for the <span style="font-weight: bold;">second gathering of the EMBL Alumni Association’s Iberian local chapter</span>. Topics ranged from protein interaction networks to vitamin D and colon cancer, and gave participants not only a great opportunity to hear the latest in Spanish science, but also to explore possibilities for collaboration. After the morning session, shop talk carried on over into lunch as the participants regrouped at a seaside restaurant, enjoying a magnificent seafood paella and other Iberian delicacies.<br /><br />Between courses, alumni took stock of the progress that they have made in setting up their local chapter. Since their last meeting, the chapter website has been improved and now includes a <a href="http://embl-alumni-iberic-chapter.blogspot.com/"><span style="font-weight: bold;" target="_blank">blog</span></a>, set up by <span style="font-weight: bold;">Carlos Luque</span>, to facilitate communication among members. Continuing areas of activity include completing alumni profiles in the <span style="font-weight: bold;">online searchable database</span>, which will hopefully help members identify people with particular expertises and career paths. The relevant issue for female alumni is that, if they are interested in this, they may become “School Ambassadors” (who go to schools to speak to students about the wonders of science) or “University Ambassadors” (who go to Universities to speak about the wonders of research) and participate in these programmes with the support of the SET-Routes program and EU funding. We discussed at the meeting the need to bring these activities to both male and female students at all levels by both male and female scientists. The SET-Routes program, however, involves specifically female scientists, although the male students will also benefit from the presentations. The Association would like to establish links with the Alumni Association because they see us as an experienced source of useful information to get jobs, start a lab, etc. The Alumni Association Board counted on the good will of the Alumni and told the postdoc representatives that they should not refrain from getting in touch with alumni (e.g. through chapter heads) who could suggest who to contact regarding their specific concern or problem. It was also decided that the Alumni Association will try to generate a Lab Management manual(pretty much along the lines of the one generated by the HHMI in the US, see at:<br /><br /><a href="http://www.hhmi.org/resources/labmanagement/moves.html" target=_blank>http://www.hhmi.org/resources/labmanagement/moves.html</a><br /><br />but with relevant European and more local information for scientists establishing their groups. Several members of the Board offered to contribute to this effort, which could benefit greatly also from your contributions down the road.<br /><br /><span style="font-weight: bold;">3. </span>The Association, through a gift from the ELSO, will award the <span style="font-weight: bold;">John Kendrew Prize</span> to a EMBL alumnus who has made important contributions in research, science & society or any other science-related activities 2-5 years after leaving EMBL. Nominations will be accepted soon, with the goal of awarding the 1000 EUR prize + an invitation to lecture at EMBL(Heidelberg or any outstation) for the first time in 2007. This is intended to become a yearly award.<br /><br /><span style="font-weight: bold;">4. </span>The Association has near 84.000 EUR in its account, of which near 46.000 EUR correspond to the <span style="font-weight: bold;">Matti Saraste Fund</span>. As you may remember, the Fund was started to honor Matti’s memory and was intended to generate sufficient cash to generate, through the interests of this money, a PhD fellowship at perpetuity in Matti’s name. This would require that the Fund would have around 500.000 EUR. Given that it seems very unlikely that the Fund will reach this amount, several options have been proposed for how to use the money, one of them to buy a fountain / garden to be located in the new Advanced Training Centre in the Heidelberg Campus. I expressed some concern that people that have contributed to the Fund may feel disappointed by replacing an investment in young scientists by a fountain, and suggested that other long-term investment schemes should be studied to see the real chances that the existing Fund could contribute to provide opportunities for young researchers, even if not at perpetuity. Other suggestion was to create a special event (e.g. a lecture, small workshop) in Matti’s name. There will be a consultation among alumni to find out what the majoritary opinion is.<br /><br />5. We had the opportunity to see the plans for the <span style="font-weight: bold;">Advanced Training Centre</span>:<br /><br /><a href="http://www.embl.org/aboutus/atc/" target=_blank>http://www.embl.org/aboutus/atc/</a><br /><br />which looks like a fantastic complement to EMBL activities. Construction has already started and is expected to be finished in three years.<br /><br />6. I summarized the activities of the <span style="font-weight: bold;">Iberic Chapter</span>, emphasizing the success of the Valencia meeting, the prospects for next year’s meeting in Bilbao and the stablishment of a blog by <span style="font-weight: bold;">Carlos Luque</span>. Other chapters that held or will hold meetings this year include UK, Austria and US.<br /><br />7. A very good piece of news for us is that the spanish ministry will be supporting next year 5 <span style="font-weight: bold;">postdoctoral fellowships for spanish scientists to work at EMBL</span>. It may even become a regular call. It would be good to make this information available to PhD students that have recently defended their thesis or will do so in the near future.<br /><br />8. Finally, there is an <span style="font-weight: bold;">opening for Programme Coordinator of the Developmental Biology Program</span> to replace <span style="font-weight: bold;">Steve Cohen</span>, who is leaving for Singapore next summer. The opening is for "Organismal Biology" to emphasize the type of developmental biologist they are looking for. The meeting started with a welcome address by CRG director <span style="font-weight: bold;">Miguel Beato</span>, followed by two outstanding research seminars by <span style="font-weight: bold;">Angus Lamond</span>, chair of the EMBL Alumni Association, and <span style="font-weight: bold;">Peter Becker</span>, EMBL alumnus, on their latest research in the fields of nuclear structure and dynamics, and chromatin remodeling in Drosophila, respectively.<br /><br />After lunch, <span style="font-weight: bold;">Angus Lamond</span>, <span style="font-weight: bold;">Sarah Sherwood</span> and <span style="font-weight: bold;">Juan Valcárcel</span> summarized the general goals of the Alumni Association and of local chapters, provided Alumni statistics, gave an online-demonstration of resources and information available through the Association web pages, and summarized the initiatives around the establishment of an Iberic chapter.<br /><br />The meeting continued with extensive and lively discussions on the expectations, opportunities, difficulties and possible solutions for the activities of the Alumni Association and the Iberic chapter. There was general agreement that maintaining and strengthening links with EMBL and between alumni are very positive initiatives that can have significant benefits for the alumni, their research environment and also for EMBL's mission. Possible benefits went all the way from sharing expertise and advice on specific problems (whether technical, career-wise or domestic) to the vision of a “virtual” laboratory sharing projects, protocols, research resources or personnel.<br /><br />To start exploring these possibilities, the following concrete initiatives were taken:<br /><br /><ol><li>To organize a second reunion in Madrid or Valencia in 2006. <span style="font-weight: bold;">Angel Nebreda</span> and <span style="font-weight: bold;">Ramón Serrano</span> volunteered to do it. It was suggested that the reunion should have strong scientific content, with seminars by one or two invited speakers and short talks and posters describing the research carried out by alumni or their labs. Updates on new technologies (e.g. available at EMBL through the visitors' Programme) could be very useful. There should also be time for reviewing the activities of the local chapter and for future plans. To facilitate attendance, the dates of the reunion could be fixed around another popular scientific meeting. Name tags and list of participants would be helpful.</li><li>To organize a Laboratory Management Course for alumni and other scientists interested, perhaps also linked to the local chapter reunion of 2006. <span style="font-weight: bold;">Maria Carmo-Fonseca</span> has already emailed the person in charge of these courses in EMBO and she and <span style="font-weight: bold;">Juan Valcárcel</span> will try to find sponsors. Two other areas that were mentioned as worthwhile pursuing along these lines were “Scientific Communication” and “Career Options”.</li><li>To improve the content and usefulness of Alumni web pages: the participants agreed to fill up information about their profiles in the Alumni web site within one week. <span style="font-weight: bold;">Sarah Sherwood</span> agreed to look into improving the searching utilities of the web site (e.g. to be able to use combinations of categories, like “Spain” and “microarrays”, to find local people with that particular expertise).</li><li><span style="font-weight: bold;">Eusebio Perdiguero</span> and <span style="font-weight: bold;">Carlos Luque</span> volunteered to set up web blogs that will facilitate sharing information between local chapter alumni, (e.g. periodical reviews on granting opportunities). They will work together with <span style="font-weight: bold;">Sarah Sherwood</span> to establish links between these blogs and the Alumni web site.</li><li>To promote rotations of PhD students in Alumni's labs and promote the participation of Alumni on thesis committees. Alumni interested in participating in these iniciatives will indicate so in their web site profile. Alumni are encouraged to offer their expertise and resources for these visits, and to be willing to join, as well as requesting other alumni to join, thesis committees.</li><li>To clarify the steps to be taken by alumni to have access to the pool of students that participated in the EMBL predoc selection, but that could not find a suitable position at EMBL. <span style="font-weight: bold;">Juan Valcárcel</span> will request this information from the EMBL PhD Programme office and circulate the information to local chapter alumni.</li></ol><br />The reunion ended with a lecture by <span style="font-weight: bold;">Prof. Andreu Mas-Colell</span>, economist and former minister for science and universities of the Catalonian government, on the need and benefits of basic research for knowledge-based economies, followed by dinner at a nearby restaurant.<br /><br />Overall, the participants felt very positively about the reunion, they felt encouraged to participate in the activities of the Association despite the pressing constraints on their time, and looked forward to future events. Perhaps the most important consequence of the meeting was to make us aware that there is a significant number of people willing to stay in touch, willing to provide help if they can, and willing to work together to enrich our research environment, in the style of EMBL.
